Privacy Policy
Effective October 14, 2026 · Version 2026-10-14.2
In short: We collect what we need to run the portal: your account details, what you and your partners add, and basic technical logs. We don’t sell your information, we don’t show ads, and we don’t use tracking or advertising cookies. You can see, export, correct or delete your information.
1. Who is responsible
Partner4Events LLC (“Partner4Events”, “we”) runs the Partner4Events website and portal. For your own account information, we decide how it’s used. For the information organizers add about their partners, team members and attendees, the organizer decides how it’s used and we process it on their behalf (see our Data Processing Agreement). If you’re a partner or attendee with questions about how an organizer uses your information, please contact that organizer as well.
2. What we collect
- Account details: your name, email address, password (stored only in scrambled, hashed form), two-step sign-in settings, and organization name.
- What you add to the portal: events, sponsor and vendor details and contacts, packages, deliverables, files and logos, contracts and signatures, invoices, messages and notes.
- Payment information: purchases are handled by Stripe. We receive what we need to record them (what was bought, the amount and the date), never your full card number.
- Technical information: IP address, browser and device type, and the times and pages of requests, recorded in our hosting and security logs.
- Messages to us: what you send when you contact support.
3. Why we use it
- To provide the portal: sign you in, store and share your content with the people you choose, and send account and notification emails (for example invitations, reminders and password resets).
- To process payments and keep billing records.
- To keep the Service secure: prevent fraud, abuse and bots, and investigate problems.
- To support you and improve the Service.
- To meet legal obligations.
We’ll only send marketing emails if you’ve opted in, and every one has an unsubscribe link. Account and service emails aren’t marketing and are part of using the Service.
4. Who we share it with
We don’t sell or rent personal information, and we don’t share it for cross-context behavioral advertising. We share information only:
- With the people you work with in the portal. For example, an organizer and its team see the partner details and files for their events, and partners see what the organizer shares with them.
- With the service providers below, who process it for us under contracts that require them to protect it.
- When required by law, to protect rights and safety, or as part of a merger or sale of the business (we’d tell you first).
| Provider | What for | Where |
|---|---|---|
| Supabase | Database, sign-in and file storage | United States (Ohio) |
| Vercel | Website hosting | United States |
| Stripe | Payments and payouts | United States |
| Resend | Sending account and notification emails | United States |
| Cloudflare | Bot protection on sign-in forms (Turnstile) | Global |
| Google Workspace | Our support email | United States |
5. Cookies and similar technology
We use only what’s needed for the Service to work: a sign-in cookie that keeps you signed in, a bot-protection check (Cloudflare Turnstile) on sign-in forms, and browser storage for preferences such as light or dark mode and unsent drafts. We don’t use advertising or cross-site tracking cookies. If that changes, we’ll update this policy and ask for consent where the law requires it.
6. How long we keep it
- Account and portal content: while your account is active. Events become read-only 30 days after they end, and stay available to view and export.
- Working material is deleted 12 months after the event ends — logos and artwork, proofs, booth and layout plans, photos, messages and attendee lists. We email everyone involved before that happens, and both organizers and their partners can download a full copy at any time. An organizer can choose to keep a particular event for longer.
- Records that prove an obligation was met are not deleted with the rest of the event: signed agreements, certificates of insurance, tax forms, permits and licences, invoices and payment records. While the account is open we aim to keep them for up to 5 years after the event, because claims and audits can arrive years later — but this is a convenience, not a records service, and you should keep your own copies (see “Your records” in our Terms).
- After you close your account: we delete your content, including these records, within 30 days (download anything you need first), and it’s removed from backups within a further 30 days, as the backups expire.
- Security and access logs: up to 90 days.
7. How we protect it
Data is encrypted in transit and stored with our providers’ encryption at rest. Each organization’s data is kept separate and checked on every request. Admin access requires two-step sign-in, and organizers can turn it on too. No system is perfectly secure; if a breach affects your information, we’ll notify you as the law requires.
8. Your choices and rights
You can see and correct your account details in the portal, export your data, and ask us to delete your account (organizers under Account → Security, sponsors and vendors under Account settings in their portal, or by email). Depending on where you live (for example California, Virginia, Colorado, other US states, Canada, the UK or the EU), you may also have rights to know what we hold, get a copy, correct or delete it, object to or limit certain uses, and not be treated differently for using these rights. To make a request, email info@partner4events.com. We’ll verify it’s you and reply within the time the law requires. If an organizer added your information, we may pass your request to them.
9. International transfers
We’re based in the United States and store data there. If you use the Service from another country, your information is transferred to the United States, with safeguards such as standard contractual clauses where required.
10. Children
The Service is for businesses and isn’t meant for anyone under 18. We don’t knowingly collect children’s information; if you think we have, contact us and we’ll delete it.
11. Changes
We’ll post updates here with a new date and version, and tell you by email or in the portal about important changes.
