What’s in the download
A recap sheet with sponsor summary, benefits and proof (with examples), event results and a next-year section, plus a guide tab listing what to include.
What to include in a sponsor recap
1. Thank-you and summary
- ✓A short thank-you from a named person, not “the team”
- ✓Event name, dates, location and the sponsor’s level
- ✓Two or three headline numbers: attendance, impressions, leads
2. Benefits delivered, with proof
- ✓One line per benefit from the agreement, in the same words
- ✓A photo, screenshot or link proving each one
- ✓Anything you delivered beyond the agreement (call it out, it counts)
- ✓Anything you missed, and how you’re making it right
3. Event results
- ✓Attendance (tickets, registrations or a headcount)
- ✓Audience details you can share: age range, location, member type
- ✓Email: sends and open rates for emails that featured the sponsor
- ✓Social: posts, reach and engagement for sponsor mentions
- ✓Website: views of the sponsor page or clicks on their logo
4. Sponsor-specific results
- ✓Booth visits, samples handed out or leads scanned
- ✓Redemptions of any sponsor offer or promo code
- ✓Quotes from attendees or press mentions that name the sponsor
5. Next year
- ✓Next year’s dates, if set
- ✓What you’d change or add for them
- ✓An early renewal offer with a date to reply by
- ✓A suggested time for a 20-minute renewal call
The recap starts before the event
The hardest part of a recap is finding proof weeks later. Make a shot list from each sponsor’s benefits before event day, give it to whoever has the camera, and name photos by sponsor as you go. Our free sponsor fulfillment checklist builds this into the event-day steps.
Use the sponsor’s language, not yours
List benefits exactly as they’re written in the agreement, in the same order. The person reading your recap often has to justify the sponsorship to their boss, and a line-by-line match with the contract makes that easy.
Questions organizers ask
What is a sponsor recap?
A short report you send each sponsor after the event showing what they got for their money: every benefit delivered with proof, the event’s results, and what you’d offer next year. It’s also called a fulfillment report, wrap-up report or post-event sponsor report.
When should I send a sponsor recap?
Within two weeks of the event, while it’s still fresh for the sponsor and before their budget for next year is set. Pair it with an early renewal offer.
What if we didn’t deliver a benefit?
Say so in the recap, and say how you’ll make it right: a make-good at the next event, an extra social post, or a credit on renewal. Sponsors notice missing benefits whether or not you mention them, and owning it builds trust.
How long should a sponsor recap be?
As short as it can be while proving every benefit. For most sponsors that’s two to five pages, mostly photos and numbers. Your top sponsors may deserve a short meeting to walk through it.
